Privacy Notice – Job Applicants
Pursuant to Articles 13 and 14 of the Regulation (EU) 2016/679, on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (hereinafter “GDPR”) we hereby inform you on our current policies and practices applicable to the processing of your personal data (the “Personal Data”) collected by Petronas Lubricants Italy S.p.A. (“Petronas” or “us”) in connection with your job application.

Categories of Personal Data
The term Personal Data refers to the personal data you provide to Petronas (e.g., by filling out and submitting the contact/registration forms we make available to you) or that Petronas collects regarding you during or in connection with the recruitment process and includes:
a) biographical data, such as your name, such as your name, surname, date and place of birth, address, education, qualification and work experiences, e-mail address, telephone number, skills related to knowledge of languages and IT systems and salary details of your previous work experience, marital status, driving license, work permit, interests.
Purposes of the processing and legal basis
Purposes of the processing
Your Personal Data will be collected and processed for the following purposes:
A. to evaluate your job application and to contact you in order to schedule an interview with you and/or to provide you an employment offer;
B. for administrative purposes connected with the management of your job application or the fulfillment of legal requirements (e.g., accounting or tax requirements) or for complying with any requests from competent authorities;
C. to share the Personal Data with any other companies of the Group within the EEA for internal administrative and accounting purposes.
Legal basis
The submission of your Personal Data is not mandatory.
In relation to the purpose referred to in paragraph A, the legal basis is the performance of necessary steps prior to entering into an employment contract.
In relation to the purpose referred to in paragraph B, the legal basis is the compliance with a legal obligation to which Petronas is subject.
In relation to the purpose referred to in paragraph C, the legal basis is the legitimate interest of Petronas as part of a group of undertakings in transmitting personal data within the group of undertakings for internal administrative purposes, including the processing of personal data of job applicants.
Data Recipients
Your Personal Data are processed by Petronas personnel and, if necessary or functional to fulfilling the purposes indicated above, your Personal Data may be processed by third parties that may also be specifically appointed by us as data processors.
The categories of recipients to whom your Personal Data may be disclosed are the following:
a. IT providers, consultants and legal, accounting, tax, labour and other professionals and agencies, recruitment companies as well as any other companies of Petronas Group within the EEA;
b. public entities and authorities, including without limitation Labour Authorities and Social Security Institutes, as well as Tax Authorities exclusively for the purpose of fulfilling legal and regulatory obligations.
Under certain circumstances, your Personal Data may be transferred outside the EEA among the companies of Petronas Group or to third parties data processors. In such cases, we ensure that Petronas has adopted appropriate safeguards, including binding corporate rules or standard data protection clauses adopted by the EU Commission, in order to guarantee the data subjects with an adequate data protection. Data Retention
Your Personal Data will be retained for no longer than it is necessary to fulfil the purpose of its collection (e.g., the management of your job application) and to comply with our legal obligations, to meet regulatory requirements, resolve disputes, maintain security, to prevent frauds and abuse.
In particular, your Personal Data will be deleted as soon as it becomes clear that an offer of employment will not be made by Petronas or is not accepted by you and in any case for no longer than 6 months, without prejudice to the processing of your Personal Data if you will be employed by Petronas.
In cases where Petronas wishes to retain your Personal Data with a view to a further job opportunity, you will be informed accordingly and be given the possibility to object to such further processing, in which case your Personal Data will be deleted.
Automated decision
Your Personal Data shall not be subject to any individual automatic decision.
Rights of the data subject
You have the right to obtain from us confirmation as to whether or not your Personal Data are being processed by us, and, where that is the case, you have the right to request us access to and rectification or erasure of the same or restriction of processing, and to object to processing at any time.
